In providing products or services to our customers’ drivers (“you”), GE Fleet Services (“we” or “us”) rely heavily on personal information about you to ensure that our customers and their drivers are provided with the best products and services possible. We want you to understand what personal information about you we collect and how we use and share it, and what steps we take to protect the security of your personal information.

I. Information We Collect: We collect personal information about you such as:
 
 
your name, home address, home phone and/or cell phone number(s), social insurance number, date of birth, driver licence number, driver history record, whether you wear eyeglasses, employment related information such as employee identification number and employment status, contact information (telephone, fax, email), credit card or banking information, spouse / domestic partner information, personal and business mileage information, fuel and vehicle maintenance purchase information, vehicle description and maintenance information, traffic violations, parking tickets, toll highway charges and vehicle accident information
 
 
from many sources including from you directly, from your employer, from provincial Ministries of Transportation, from toll highway operators, from fuel and vehicle maintenance/repair suppliers and from police reports.
 
 
Personal information about you is only collected and used with your consent. Whenever we may need to collect personal information about you for purposes other than the ones described in this Privacy Policy or in any agreement we have with your employer we will obtain consent for the new collection and uses.
 
 
We do not obtain your consent when we collect “publicly available information” about you such as a public directory listing of your name, address or telephone number. Your consent is not required for us to collect “publicly available information” as this is not considered to be “personal information about you” at law.
 
 
II. Uses of the Information: We collect personal information about you to enter into, maintain and carry out our agreements with your employer relating to the provision, maintenance, repair and diisposition of vehicles provided to you by your employer.
 
 
Specifically, we use personal information about you in order to provide any or all of the following services to your employer:
  • facilitate the purchase and delivery of the company-provided vehicle(s) assigned to you
  • dispose of the vehicle when requested by your employer
  • obtain driver history reports in respect of you and any other person who will be permitted to drive the company-provided vehicle in accordance with your employer’s fleet policy
  • authorize maintenance and repairs to your company-provided vehicle
  • reporting and billing services related to the use of the fuel and maintenance charge card that may be provided to you
  • prepare taxable benefit calculations relating to your use of the company-provided vehicle
  • administer accident claims relating to the use of the company-provided vehicle
  • administer payments of tolls, parking tickets, registration fees and other similar third party payments
  • facilitate the delivery of communications to you relating to your company-provided vehicle, such as product notifications or safety recall notices.
We also use personal information about you for purposes of complying with applicable laws and GE policies.
 
Personal information about you will not be used for any other purpose without your consent.
 
 
III. Information We Share with Others: As described above, in managing our relationship with your employer and providing the above services, we provide some or all of the personal information about you to your employer, to vehicle dealers or manufacturers, to provincial Ministries of Transportation, to third parties who assist us in the administration of motor vehicle accident claims and to our global affiliates within GE Fleet Services and other third party service providers who process the information in furtherance of the purposes described in this Privacy Policy statement or in accordance with applicable law. Information transferred to any of these third parties may be subject to the laws applicable in the jurisdiction where such third party is located. You understand that any information (including personal information) provided via this site may be processed and stored in the United States and that United States governments, courts or law enforcement or regulatory agencies may be able to obtain disclosure of such information (including personal information) through the laws of the United States.
 
 
Other than to provide the above services to your employer we do not provide or sell personal information about you to any outside company in order to market their own products or services to you without your explicit permission.
 
 
However, we may share personal information on a confidential basis with external service providers who process your personal information only to assist us with the uses that you have consented to or in accordance with applicable law.
 
 
We also provide personal information where required by law or in an emergency situation, as permitted by law.
 
 
Please note that information such as aggregate information or “blind” data without personal identifiers may be used for business purposes other than those identified above and we may share such non-personal information with third parties.
 
 
IV. Our Security Procedures: The security of personal information about you is very important to us, and we take steps to safeguard it. We maintain physical, electronic and procedural safeguards in compliance with applicable law and industry standards to guard non-public personal information about you. We limit access to personal information about you to those employees and agents who assist us in providing products and services to your employer. GE Fleet Services employees who fail to follow our established standards are subject to disciplinary action. We also require our external service providers to whom we disclose personal information about you to adhere to this Privacy Policy and to establish and maintain information security procedures.
 
 
V. Retention of Information: We keep personal information about you only as long as we need it: (i) to provide all of the services described above; or (ii) to meet any legal and audit requirements. We have retention guidelines that meet these requirements.
 
 
VI. Your Access to Information: Personal information provided to us by you, or obtained subsequently with your consent, is maintained in a separate file. We manage this file from our offices located in Mississauga, Ontario.
 
 
You have the right to request access to the personal information in your file or request a correction to it.
You may also request that we discontinue maintenance and use of your personal information for the permitted purposes. Such a request, however, may not be completed until there are no longer any remaining obligations between us and your employer in respect of your company-provided vehicle, any fuel and maintenance charge card that may be provided to you or any of the above services. Your request may also result in the termination of your eligibility for a company-provided vehicle.

There’s no charge for verifying or correcting information about you. Depending on the circumstances, there may be a charge if you want a copy of records that we have already given you. We will inform you beforehand of any applicable charges.
 
 
VII. How This Policy Applies to You: We may amend this Privacy Policy at any time, and we will – if and as required by law - inform you of such changes.
